The contestant's name, division and city or title; contact email and phone; a parent or guardian's name, email and phone (required for contestants under 18); your gallery choice; and records of the agreements you accepted (with the date and wording version). If you choose the paid gallery upgrade, Stripe processes the payment: we receive the payment status, never your card number.

We use this to run the registration, schedule the photoshoot, send event and payment emails, and deliver your images. Studio news is sent only if you tick that box and then confirm by email; you can unsubscribe at any time.

For contestants under 18, a parent or guardian registers and confirms the registration. Emails about a contestant under 18 go to the booking contact and the parent or guardian, never to the contestant's own email address. Contact details are visible only to studio staff who run the event. We do not publish contestants' contact details, and we do not sell anyone's information.

For events we photograph, we may receive the contestant list from the event organizer and use it only to invite contestants to that event's photoshoot. Every invitation includes a one-click unsubscribe, and we stop emailing anyone who unsubscribes.

To understand how people find the site, we count page views ourselves without cookies. For each page view we keep the page address (without any private link codes), the website that referred you (its name only), campaign or QR codes in the link, a general device type (phone, tablet or computer) and country. Instead of your IP address we keep an anonymous code that changes every day, so we can count daily visitors without recognising you from one day to the next. We do not store your IP address or browser details.

If your browser sends a Do Not Track or Global Privacy Control signal, your visits are not counted. When you register, we note where your visit started (for example a QR code on a flyer) so we can see which outreach works. We also use Vercel Web Analytics, which is likewise cookieless.

Our site and data are hosted by Vercel and Supabase; emails are sent by Resend; payments by Stripe; short-lived security counters (to stop abuse) by Upstash. Messages sent through the contact form may be summarised by OpenAI to help us reply. These providers process information only on our behalf.

Registration and payment records are kept for three years after the event. Visit records are kept for 13 months, after which only daily totals remain. Ask us at any time to see, correct or delete your information at bookings@meagangilbert.com, and we will reply within 30 days.
